Need help understanding other users access

I have a couple of users who can access specific groups, then I approve them to be added to the main calendar. This user just let me know that she is not able to even see events on her Manage Events list except one that wasn’t approved - not future or past events. She was trying to edit one of her events but she couldn’t find it much less edit it.

Hi Robyn,

Thanks for writing—It sounds like it may be a permission setting that we’d suggest double-checking to start off with.

For example, if you’ve given an “Editor” permission to the user they can only see/edit Hidden events. To be able to see/edit Live events the user would need to be a Publisher. You can view and edit those permissions in the user settings in the Dashboard:

You can also find more information about user permissions in our docs here in case it’s helpful: Users and Permissions - LiveWhale Support

Hope that helps!

But I don’t want them to be able to publish events to the live site. I do want them to be able to add and/or change events in their group.

Hi Robyn—Understood and a couple of things come to mind with that:

  1. Allowing someone to post to their own calendar but need approval for the main calendar is handled via your main calendar setup Setting up LiveWhale Calendar - LiveWhale Support (i.e., if your main calendar just shows a “Main Calendar” group, then other folks can suggest events for you to approve there). In that case, the user would need to be a Publisher to post live to their own calendar.

  2. LWC doesn’t out-of-the-box support different permission levels for the same user in different groups, but if the need arises you can often accomplish what you need using CSS/JS “soft permissions” – these are explained with examples here Customizing the back-end - LiveWhale Support.

Ultimately, for someone to be able to post a Live event to (any) group they need to be at least a Publisher level permission; the Editor level can only see and edit Hidden events. But, depending on the workflow you have in mind beyond that, there’s definitely some way of making it work.

Hope that helps!
