Capability for one instance of LiveWhale to host events for multiple campuses

Does anyone use their LiveWhale Calendar across multiple campuses in their University system? Is there a capability for one instance of LiveWhale to host events for multiple campuses from one University system that clearly filters and differentiates between campuses? For example, the University of Minnesota has 5 campuses in different cities around the state in its system. Could one LiveWhale instance support all 5 campuses?

I have two answers for you.

First: As Alexa notes (hi Alexa!), it’s certainly possible to use one instance of LW to support several campuses. LiveWhale Calendar has a “Campus” taxonomy you can use in filters, and there are some schools (including UConn) who use that for multiple campuses.

But in a situation like UMN’s, where you’ve already got existing instances in place with their own set of customizations, I suspect one LiveWhale instance would have boundaries that might not fit your use case. One LW instance means one set of admins for all groups/events, one set of event types managed by admins/curators that applies to events calendar-wide, and so on. It is possible to show certain event types to certain groups, or add custom fields for some groups and not others, but as you can imagine that can get complicated.

So here’s the second answer: We have an Enterprise license that is designed for exactly this use case. :slightly_smiling_face: Enterprise licenses include the following extras:

  • Multi-host support: up to 5 calendar host domains (details below)
  • Enhanced event sharing designed for multi-host environments
  • Enhanced workflow/event draft and approval functionality

Host domains are semi-independent calendar instances that share a single software installation. While multiple calendar groups with group-specific theming can be hosted on any LiveWhale Calendar installation, host domains on our Enterprise plan can have their own calendar domain or subdomain, as well as the following:

  • Host-specific theming ingredients (including templates, calendar components, and themes)
  • Host-specific functionality customizations (specific time/cost estimates quoted by project)
  • Host-specific event types, custom fields, and integrations

The cost is obviously more than our current Large tier, but would likely be less than licenses for UMN’s individual campuses. If you want to discuss, drop a line to hello@whitewhale.net and we can share more info!

Hi Jason!

We would love to go ahead and schedule a demo of the enterprise option for the University of Minnesota, ideally in the first few weeks of December if your team has the availability. Northrop met with University Relations about this and they have been in contact with the other UMN campuses. We can set up the demo for Northrop and U Relations staff and then U Relations will invite the other UMN campuses to join us. Let us know what works for you and if we should be scheduling this in a different forum.
